- 1). Compress pictures in the PowerPoint file to remove unnecessary data from the image and reduce their resolution. To do this, click on a picture to activate the "Picture Tools" tab. Click on the "Format" tab under "Picture Tools." Click "Compress Picture" in the "Adjust Group." Select "Delete Cropped Areas" and "Minimize Document Size for Sharing." Click "OK."
- 2). Save the file with a different name to discard unneeded data in PowerPoint's memory. Click the "Office" button and click "Save As." Type in a new name for the file and click "Save." Close the file and go to the folder containing the original file. Right-click that file and select "Delete."
- 3). Shrink embedded images. When you drag or copy and paste a picture onto a PowerPoint slide, it may become a large, embedded object. Click on the image, and click "Format" under the "Picture Tools" tab. Click "Group" in the "Arrange" section, and select "Ungroup." Click "Group" again in the "Arrange" section and select "Group." Doing so removes superfluous data.
- 4). Embed required fonts, but do not embed others, as this will expand the file size. Click the "Microsoft Office" button and click "Save As." Click "Tools" near the bottom right of the "Save As" dialog box. Select "Save Options." Clear the "Embed Fonts" check box to remove all embedded fonts or select "Embed Only the Characters Used in the Presentation" to embed the required characters for the font.
- 5). Delete extra review information. If you shared the file with others to review, comment on or edit, there may be unnecessary data attached to the file. Go to the "Review" tab. Click "Accept" or "Reject" in the "Compare" group to allow or remove any comments or editing added to the file. When you are finished, click "End Review."
