- 1). Open a new word document on your computer's word processor. Make a header by centering the text on the first line. Choose a catchy but easily legible font, set the size to 20 or 22 points, and type your name. Single space down once, then set the font to Courier or Times New Roman, size 10 or 12 point. Enter your address, phone number, and a professional email address.
- 2). Enter twice to double space and set the text to the left. Enter the recipient's name, company name and contact information.
- 3). Double space and type a formal salutation. Always address the recipient personally ("Dear Ms. Essing") as generic salutations are considered bad form. Be sure the document is set to single space, and manually double space between paragraphs and your closing.
- 1). Do a little extra research into the job you are applying for, beyond what is listed in the job description. From the perspective of an employer, the perfect cover letter comes from an applicant who knows about the company and wants to make a personal investment in his job.
- 2). Write the introductory paragraph. Explain who you are in work terms ("recent graduate," "experienced teacher") and clearly state the position for which you are applying.which position you are applying for.
- 3). Write the middle paragraph, which may be broken into two paragraphs (although you should keep your cover letter to one page in length). While you will be summarizing some of the highlights of your resume, the perfect cover letter will go one step further and show the employer how your specific skills and previous experience make you the perfect candidate for the job. Mention any projects or company events you discovered in your research and point out any feature from your resume that shows you would be a valuable asset to the staff.
- 4). Write the closing paragraph. Indicate how you will be contacting the employer, or what the next step in the process will be. Always thank the recipient for taking the time to consider your cover letter and resume.
- 5). Proofread your cover letter carefully to be sure the grammar, spelling and punctuation are perfect.
